The iGroups services can be covered into two categories. Core Services are services that are covered by your basic fee and for most schools this is all you will need to implement and operate BCeSIS. (ie. training, helpdesk support,etc). Managed Services are services that schools have asked for that we cannot cover with the basic fee without raising it for all schools, because of available resources or time. (ie. one-on-one training sessions)
Core Services (covered by basic fee):
1. Training:
a. Implementation training consisting of 2-3 days of one-on-one training with 1-2 staff members from the school in Vancouver; or 4 days of group training (with other schools) with 1-2 staff members from the school in a location other than Vancouver.
b. 12 group online workshops occurring once each month, plus 4 in-person workshops through the province (Vancouver, Victoria, Kelowna, and Northern BC).
c. Training of any new modules that may be implemented into BCeSIS (i.e. Parent Assist, Student Assist, Executive Assist, SPED, etc).
d. Access to ISW training materials and any other training materials that the iGroup develops.

2. Helpdesk Services:
a. Email, phone, and helpdesk-based support for BCeSIS from 8am - 5pm every weekday that school is in session. For stat holidays and non-school days helpdesk will be provided as BCeSIS events require.
b. Management of security access to the BCeSIS application.
3. District Level Services:
a. Management of independent school district settings, including creating course codes for new courses and adding other system codes.
b. Communication bridge between Provincial Team, Ministry, and Independent Schools.
c. Provide guides, tools, and resources for business events (i.e. start of school, 1701, TRAX, YET, etc).
Managed Services (extra flat fee monthly for schools)
. Includes all core services.
• Bridges gap between training and school use. Account Manager takes on most BCeSIS related tasks on behalf of your school.
• A dedicated Support consultant will be assigned to your school.
• One point of contact via phone or email for support. Always know who you will be talking to, and the Account Manager will understand your school's needs.
• The Account Manager will provide consultation with your school in relation to BCeSIS using firsthand experience and through discussions with your school.
• Daily Maintenance
• Send requests to your Account Manager for BCeSIS maintenance requests.
• Scheduling, student information, how-to's, staff maintenance.
• Once a Year - YET, Scheduling, ES Audit, Basic School Setup.

Basic School Setup
Your account manager will consult with you on your schools needs and setup your school year after year with best practices in mind. You will no longer have to worry if you have made the right adjustments in your school setup.
This setup includes entering your important school dates such as start – end, reporting periods, and non-school days, as well as making sure that all the modules such as attendance, and report cards are working for you.
Let us know if you have any staffing changes, and we will make sure those changes are reflected into BCeSIS. Whether it is a new teacher, or a teacher leaving your school, we will make this a seamless change for you.
BCeSIS Daily Maintenance
Although our managed services does not completely remove your office from using BCeSIS, we can adjust BCeSIS according to your schools needs should they change.
Also, if you suddenly have a school closure and cannot make those changes, we will gladly help you with making those adjustments for you.
Yearly Maintenance
Once a year, schools will have to perform scheduled tasks like Scheduling, adding courses and Year-End Transitions. With managed services, you will now simply email your Account Manager and they will work with your school to get those adjustments made. You no longer have to worry about combining data entry into BCeSIS with your regular school duties. Let us do that for you. Also, Ministry reports such as ESAudit can be completed for you by your Account Manager. Instead of spending 3-4 days out of your busy schedule completing an extra task, we include this task in your fees.
Training
As part of your fees, your account manager will train and/or retrain your office staff if an office administrator should turnover. Further training will include online training for your teachers on how to take attendance and enter report card marks.
Essentially, a managed service places a dedicated BCeSIS administrator at your desk. Instead of contacting helpdesk for support, you are now able to simply contact your dedicated BCeSIS account manager via phone and/or email and get a response to your question. In addition, if your query fits into the “included” box above, we will take those processes and completed the changes on your behalf. You no longer need to juggle the extra duties you have with the challenges of BCeSIS. Let us take care of it for you.
Ad-Hoc Services (provided by iGroup at extra fee as resources and time are available):
1. Teacher training
a. Online teacher training using Elluminate (desktop sharing software).
The iGroup can use online teaching software to teach a group of your teachers how to do attendance, report cards, gradebooks, and other features of Teacher Assist. Each session is 4 hours in length and includes time for teachers to practice and then ask any questions. This is best suited for groups of less than 12 teachers; however any number of teachers can watch the session.
Cost: $180 / 4 hour session
b. In-person teacher training.
The iGroup will come to your school for the day to teach groups of your teachers how to do attendance, report cards, gradebooks, and other features of Teacher Assist. Each group of teachers will receive a 4 hours session that includes time for teachers to practice and ask questions. This is limited to 12 teachers per session, 2 sessions per day.
Cost: $350 / day within Greater Vancouver, $400 / day outside of Greater Vancouver plus any travel costs (flight and hotel).
2. Training of new office staff.
a. If your school requires a new staff member to be trained in BCeSIS due to recent hiring the iGroup is offering a 1 day staff starter training session for any new staff members, or other staff that did not receive training during the implementation phase (limit of two staff members). This training includes admitting and registering students, scheduling students, attendance, report cards, and general reporting.
Cost: $350 / day within Greater Vancouver, $400 / day outside of Greater Vancouver plus any travel costs (flight and hotel).
b.
Optional online Elluminate-based training is also available for schools outside Greater Vancouver. Cost: $350 / day.
4. Report Writing
a. If your school personnel does not have the time or knowledge for creating specific reports based on the GDE (General Data Extract) in excel the iGroup can help by either putting the data together in a report that you can use, or creating an excel template that can be used multiple times.
